Create one requirements record per institution
Start with the institution's current undergraduate admissions page. Record the application platform, decision plan, deadline and time zone, fee or waiver process, and required materials. Program-specific auditions, portfolios, or supplemental forms may have a separate timeline.
Do not assume that requirements from a previous cycle still apply. Save an official link and the date you checked it. Track your own planned completion date separately from the official deadline so you have time to resolve missing materials.
Coordinate school documents and recommendations
Ask your school how transcripts, school reports, and recommendations are submitted. Confirm which teachers or other recommenders meet each college's requirements. Give recommenders a clear deadline and the context they request, with enough time to write.
Distinguish requested, in progress, submitted, and received. Your application can be submitted while a separate school document is still pending. Check the college's rules for supporting materials instead of assuming all systems use the same deadline.
Organize essays and review before submitting
Keep each prompt, word limit, draft, and submission destination together. Reusable material still needs to answer the actual prompt. Review institution names, formatting, and the final preview rather than relying only on a draft document.
Use a checklist for factual accuracy and completeness: activities, dates, course information, selected program, and contact details. Save a copy of your submitted application and confirmation. Do not mark an application complete solely because you clicked submit.
Track portals, financial aid, and decisions
Follow instructions to activate each applicant portal, then check the institution's received-materials checklist. Track missing items and follow up through official channels. Add financial aid forms and scholarship deadlines as separate tasks; admission and aid are related but distinct processes.
After decisions arrive, record offer conditions, reply deadlines, and aid information. Review binding-plan obligations before selecting a plan or responding. Your tracker should help you ask better questions, not replace official instructions.
